Ordering Mailing Labels

In accordance with APA's general policy on mailing lists, the APA Center for Psychology Workforce Analysis & Research reviews and approves all proposals to conduct research using APA members, as well as all requests for mailing labels of undergraduate and graduate departments of psychology. Requests for labels for all other uses (e.g., announcements, recruitment, employment) are also subject to review and approval.

The Association does not sell, or otherwise make available, membership address lists or mailing labels on computer tape or diskettes to any organization or individual. Mailing lists are sold only in computer printed mailing label format. The APA does not release email addresses for use in any research or mailings.

Points of review include, but are not limited to:

  • methodology, instruments, analyses, and dissemination
  • adherence to APA Ethical Principles
  • intrusiveness and burden to participants
  • evidence of approval by an Institutional Review Board (IRB) or committee.

All requests must be placed in writing. Requestors should send COPIES of all materials to be mailed. APA reserves the right to review all materials and to reject orders that do not meet APA standards. Requests involving job recruitment announcements must also have an advertisement placed in the APA Monitor before labels will be provided.

Mailing labels are sold for ONE-TIME USE ONLY by the requestor. They are not to be reproduced, reused or resold. Labels are printed in zip code order unless otherwise specified. Once orders are placed no cancellations/refunds will be granted. Labels are not returnable.

DO NOT SEND CHECK OR MONEY ORDER WITH LABEL REQUEST. Requestors will receive an invoice from APA Accounting shortly after receiving the labels. When submitting your request, be sure to include both a mailing address and a billing address if different. All orders are shipped FedEx Standard Overnight. Federal Express CANNOT deliver to P.O. Boxes or P.O. ZIP Codes.

The following guidelines outline the costs of ordering labels, as well as any additional information to be submitted. Please review these guidelines before submitting any request.

Materials to be submitted

1. Copies of all instruments, cover letters, reminder postcards, etc.

2. Short discussion of each of the following or copy of actual research proposal:

a. Description of target population: number of subjects, selection criteria (e.g., major field, area of interest, employment setting, demographic variables -- gender, age, race/ethnicity, etc.).

b. Detail methodology/procedures, including:

  • Scheduled date of 1st contact, and any follow-ups (For each follow-up, random samples at a later date that match the original request.)

  • Anonymity or confidentiality of responses (justify need for identification numbers, if any.)

c. Purpose of the research (who benefits/importance to the field.)

d. Plans for analyses and dissemination (e.g., publication, presentation.) 

e. Any funding to help support research.

3. Evidence of approval by an Institutional Review Board (IRB) or committee.

Cost and Billing Information

$125.00 standard reviewer fee. (per research solicitation notice)

Students serving as primary researchers receive a 2/3 discount on the cost of the reviewer fee.

Note: This fee is for a single solicitation, additional solicitations will be charged additional reviewer fees.

Requestors will receive an invoice from APA Accounting shortly after access to the list serve has been approved. When submitting your request, be sure to include a billing address and an email address and/or Fax number to expedite the process.


Criteria Used to Review Requests

1. The content of the questionnaire and cover letter:

  • Are they likely to be offensive to the APA members who would receive them?

  • Will participation place an undue burden on the Association's members?

  • Will the recipients be able to complete the questionnaire?

  • The APA is not to be mentioned in the cover letter or instrument.

2. The mechanics of the instrument:

  • Are there typographical errors?

  • Are the instructions adequate? 

  • Do the response options fit the questions? 

  • Are these response options mutually exclusive and exhaustive? 

  • Is the formatting of the cover letter and survey instrument consistent with recommended research procedures?

3. The research plan:

  • Has a research population been specified?

  • Are the criteria for selecting a sample from this population clearly presented and adequately justified?

  • Has a feasible plan for the initial distribution of the survey and for follow-up contacts been presented?

  • Is the proposed timeline realistic?

  • After using these questions to guide our review of your request, we will decide whether to request revisions and ultimately whether to approve the use of APA mailing lists. We take our responsibility to shield the members of this Association from research that does not meet the Association's standards very seriously. The APA will not approve research that is offensive or burdensome to APA members or proposed samples, or that is inconsistent with the mission of the APA.
